Good afternoon Colleagues,

We hope you are doing well. This is a friendly reminder of the Flipped Scheduling Timeline, Fall 2024, followed by Summer 2024. While we understand that we just launched a new system, CLSS, and the holidays are approaching, there are benefits to the Flipped Scheduling Timeline for Fall/Summer 2024:

  1. Fall is a sizeable term to schedule over Summer.
  2. Holidays and the start of the Spring 2024 semester.
  3. The start of faculty Spring 2024 contracts will allow you to clarify any last-minute questions in January 2024.

The two-step process for assigning departmental-owned space, Online, GPC NORM, and/or requesting GPC space, to course sections in CLSS:

  1. Course information must be submitted by Department Approvers for review by School Approver. Department Approvers can select one of three placeholders:
    • To Be Scheduled- to indicate to your School Approver that the course needs a room.
    • No Room Needed- If the class will not be scheduled in a location at this time.
    • Online- If the Campus and the Class Mode are entered as Online.
  2. Once Department Approvers submit their course section data, the School Approver must proceed to validate, make corresponding adjustments, and then process room assignments or space designation for each course section in need of a space for Fall 2024 by Friday, February 2, 2024, at 5:00 PM and for Summer 2024 by Friday, February 23, at 5:00 PM. Space designations available to School Approvers:
    • Departmental-owned location must be assigned to each course section that can be accommodated in a space owned by the school/college.
    • GPC RQT must be assigned to each course section requesting a GPC space. The course must include the following criteria: LEC, SEM, DIS, FLP, or HRK, follow the Standard Meeting Pattern, and minimum enrollment of 15.
    • GPC NORM must be assigned to each course section that does not need a GPC.
    • No Room Needed- must be assigned to the course section if no room is needed at all.
    • ONLINE must be assigned to each course section that will be held online.

School Priority Scheduling in GPC Spaces: Applies to instructional spaces previously managed by school/college. To meet this requirement, course sections must follow the University Standard Meeting Pattern, are LEC, SEM, DIS, FLP, or HRK, Enrollment matches Room Capacity, and the GPC RQT (placeholder) is assigned.

Special Requests, ADA, and Back-to-Back File for Fall 2024:  Please submit this file to ocm@miami.edu by Monday, January 29, 2024.

Maximum Expected Enrollment: Please provide the most accurate expected maximum enrollment for the course section based on historical enrollment information. Keep in mind that the minimum enrollment to request a GPC space is 15.

OCM Workflow after the Rooming Process for Fall 2024/Summer 2024:

  • Starting Wednesday, March 6, 2024, OCM will begin processing additional GPC requests, removals, changes, swaps, etc.
  • Any new course section requesting a GPC space will need to be entered as Tentative. This way prevents students from registering for courses without a GPC location assigned. An automated 25LivePRO confirmation email will be sent once a GPC space is assigned so that you may go to CLSS to change the status from Tentative to Active.
  • OCM processing time for Workflow queue may be delayed if changes made to a course section require Course and Scheduling approval.
