Updated Travel Policy

Greetings from the Department of Travel Management!

We have numerous updates to share with you regarding travel at the University. Our office recognizes the importance of convenience and safety for faculty and staff travelers, leading to the encouragement to utilize the University Travel Portal for bookings. However, in an effort to align our Travel Policy and Travel & Business Expense Reimbursement Policy with our peers and best practices, we have made some revisions.

Faculty and staff are no longer required to use the travel portal for their bookings and may do so outside of the portal. If a traveler chooses to book outside of the travel portal, they are required to register their trips (both domestic and foreign) with International SOS (ISOS), the University's Global Assistance Program. Travelers who book through the portal will have their trips directly uploaded to ISOS. You can download the most recent copy of the ISOS travel assistance card here. Please note: Students are strongly encouraged to book airfare through the University Travel Portal, but it is not required.

In addition, we would also like to highlight a change that was made to air travel for Business Class seating. Business Class tickets are approved for flights over 5 hours of continuous flight time (excluding layovers and change of plane). Pre-approval before the ticket is purchased is not required.

Airline News

Redeeming Unused Airline Tickets

"Unused" airline tickets are a credit to an airline that resulted from canceling a changeable, but non-refundable ticket. Unused tickets will be shown in the profile of the traveler whose name was on the original ticket and, usually, these tickets cannot be transferred to other travelers.

NOTE: All unused airline tickets have an expiration date. Once unused tickets have expired, they cannot be used/redeemed.

World Travel 1:1 Agent Bookings

World Travel agents can assist with complex bookings, issues with a trip, or booking group travel. Booking fees are currently waived for business travel. NOTE: Agency fees for leisure air travel and companion travel will apply.

The University of Miami dedicated team are available during regular business hours from 8:30 a.m.- 8 p.m. EST, Monday through Friday (excluding holidays).

American Airlines has launched a new business loyalty program. The new AAdvantage Business Program rewards eligible companies and their travelers for booking business travel on AA.com and the American app.

TRAVEL PORTAL Myth Buster FAQ

Question: My name in the travel portal does not match my legal name on my travel documents. Can Travel Management update my name?

Answer: Employee profiles in the travel portal are fed directly from Workday. As a result, your travel profile name and reservations will only appear as such. To make a name change, you will need to reach out to Human Resources so it updates in Workday.

Please note: Airline tickets must match your legal travel documents (passports, driver's license, etc.)
