How-To Guide:

View the Outlook Email Warning Banner Subject on Your Device

Dear University of Miami Community,

As shared earlier this month, based on evolution in the cybersecurity landscape, we recently updated the external email warning banner in Outlook. We've heard that on some devices—especially mobile—it may not be immediately clear how to now view the email subject text.

The banner is an important security feature designed to help you quickly identify messages that may be external or potentially unsafe but are not always obvious. Below are a few quick tips to help ensure you can see more of the email subject, depending on how you access your email.

iPhone or iPad – Apple Mail app:

By default, the Mail app may show only a single line of the email preview. To view more of the message:

  • Open Settings
  • Select Mail
  • Tap Preview
  • Choose 2 Lines, 3 Lines, or 5 Lines (based on your preference)

This will allow more of the banner message to be visible when viewing emails.

iOS or Android – Outlook mobile app:

The Outlook mobile app may also limit how much of the email header is visible at first. To view more text:

  • Open the email and scroll slightly, or
  • Tap within the message area to expand the view and reveal the full banner text

Desktop – Outlook on the web or Outlook desktop app:

If you're using Outlook on a computer, the subject line and banner visibility can depend on column width. To view more text:

  • Hover your mouse between the column headers (for example, between Sender and Subject)
  • Click and drag to widen the Subject column

This allows the full subject line—and associated banner text—to display more clearly.

Why this matters:

Email-based phishing and impersonation attempts continue to be one of the most common security risks across higher education and healthcare. The warning banner is one of several tools in place to help you quickly spot messages that may require extra attention and more caution.

We appreciate your feedback and your partnership in keeping the University community secure.
