DISTRIBUTION OF DEPARTMENTAL STANDING ROLLOVER PURCHASE ORDERS
On May 6, the Medical Purchasing Department distributed the Departmental Standing Rollover purchase orders for FY05. The purchase orders were sorted and distributed by department name and number (for example, #31014=Department of Medicine, #31026=Neurology, etc.). Each package was marked with this information and mailed by interoffice or picked up by each department. If you have not yet received your SPOs as of yet, please log on to DMAS at http://datagate.miami.edu/ and you can view your department’s purchase orders there. If any changes are needed, print the purchase order from DMAS, make your corrections on the form, and send to Medical Purchasing (R-31), Mental Health Institute, third floor. Please note that these purchase orders are drafts only and are not to be used before June 1. SHREDDING SERVICES SOON TO BE CENTRALIZED
The University’s Privacy Office is announcing the centralization of all shredding services for the medical campus beginning June 1, coinciding with the beginning of the new fiscal year. There will be no charge for this service. The HIPAA Regulation provides for the destruction and disposal of all Protected Health Information (PHI)—the centralized shredding service will assist all School of Medicine departments in the proper disposal of all PHI. All shredding services will be provided by a single vendor and the cost of this service will be absorbed by the Department of Facilities Administration. Those departments currently paying for shredding services should not renew their purchase orders for these services because they will no longer be responsible for this disposal.  All shredding will be handled centrally and is mandatory. Supervisors should instruct staff to place all documents containing PHI in recycling bins.  If you need recycling bins for your area, please call 305-243-1052.  No PHI is to be disposed of in regular trash cans. For more information and to identify your areas, please contact Frances Kaniewski via e-mail at: FKaniews@med.miami.edu.
